In this episode, we explore the essential soft skills every project manager needs to excel. These are the skills that complement technical knowledge and foster effective teamwork, communication, and leadership. So, let’s get started!
In today’s business environment, project managers are the linchpins of success within organisations, taking on responsibilities that require both technical knowledge and a plethora of interpersonal skills. But what soft skills are vital for a project manager to truly succeed? Today, we’re unpacking the soft skills that can make or break project outcomes and how they interact with the hard skills that are often emphasised in our field.
Let’s begin by understanding what we mean by ‘soft skills.’ These are the skills that allow you to work effectively with others, harmonising your technical abilities with personal interaction for optimal results. While hard skills are your vocational capabilities, soft skills encompass a broad spectrum that includes teamwork, communication, problem-solving, and leadership—attributes crucial for navigating not just projects, but your career landscape. Wikipedia offers a broad definition, including people skills, social intelligence, and emotional intelligence, as key components. For a project manager, these are indispensable for guiding teams, making decisive actions under pressure, and engaging with stakeholders at all levels.
Contrary to soft skills, hard skills are the technical expertise you acquire through education, training, and experience. These are concrete and measurable, such as proficiency in specific software, industry knowledge, or marketing skills. Project managers are expected to balance both soft and hard skills to be effective in their roles. As much as a certification or degree can validate your hard skills, expressing and evidencing your soft skills, whether in interviews or on your CV, is equally important.
Now, let’s explore the project management soft skills in more detail. Managing a project is more than meeting deadlines and budgeting; it’s about dealing with people, often across functional and hierarchical boundaries. The Association for Project Management underscores core competencies like communication, conflict management, and the ability to delegate, influence, lead, negotiate, and foster teamwork. These skills are tested daily and are fundamental in bringing projects to a successful conclusion.
Diving deeper, communication stands out as a pivotal skill. It’s not just about speaking or writing; it’s also about listening and ensuring your message is clear and structured. Effective communication prevents misinterpretations and keeps your team aligned with the project’s goals.
Handling conflict is part and parcel of a project manager’s role. Disagreements can unravel team unity and jeopardise a project’s success. Addressing conflict head-on and establishing clear expectations can minimise disruptions and maintain team morale.
Delegating tasks is another essential skill, enabling team members to showcase their abilities and grow, which in turn can drive project momentum and success. Knowing your team’s strengths and weaknesses and providing feedback are all part of effective delegation.
Influencing—persuading rather than commanding—is about cultivating buy-in and guiding behaviors towards the project’s aims. It’s a skill that hinges on empathy and the ability to convey a compelling vision for the project.
Leadership is where a project manager must shine, inspiring and empowering the team to not only meet but exceed expectations. It’s about transformational leadership, fostering an environment where everyone can evolve into leaders in their own right.
Negotiation is the art of reaching an agreement that aligns with the project’s interests. Strong negotiators are assertive yet empathetic, able to listen effectively, and know when to stand firm or compromise for the greater good.
And then there’s teamwork, which lies at the heart of project management. This is about uniting a group with diverse skills around a single objective, keeping them motivated, and clearly communicating the project’s mission.
Attitude is the foundation of all these soft skills. A positive attitude fosters a vibrant team environment, encourages proactive problem solving, and can even avert conflicts before they escalate. Professionals like Mariana Magalhães, a Project Manager at Forty8Creates, stress the importance of being proactive. The right attitude can mean the difference between a project manager who is in command and one who is simply reacting to situations as they arise.
When it comes to communication, clarity, and confidence are key. Team members and stakeholders rely on accurate, timely updates to make informed decisions. Nicci Beacham from Liberty Marketing emphasises the importance of social skills and approachability in mitigating risks and supporting an open and transparent project environment.
While some may seem like natural-born leaders, possessing innate soft skills, these abilities can certainly be developed. Resources abound, from books to TED Talks, team-building exercises to on-the-job learning. And remember, recognised courses such as the APM Project Fundamentals Qualification can provide a stepping stone into the project management world, introducing some of these essential soft skills.
