Welcome aboard the Knowledge Train. In this podcast, we explore insights and tips to help you manage your way to success in your career and business. I’m Simon Buehring, your conductor on this journey to knowledge and I’m thrilled to have you with us today.

In this ride, we’re unpacking the essentials of PRINCE2 principles—the bedrock of the most widely recognised project management methodology. So, if you’re aiming to better understand PRINCE2 or preparing for your PRINCE2 Foundation exam, you’re in the right carriage.

Let’s lay down the tracks. PRINCE2 stands tall on its principles—seven of them to be exact. They’re the core of this method and are present in every aspect of PRINCE2-based project management. Now, why should you care? Because you can apply these to any project, big or small, local or international. And here’s the best part: these principles are universal, so whether you’re revamping an office space in London or leading a global initiative for the United Nations, PRINCE2 has got you covered.

The beauty of PRINCE2 is its universality. These principles aren’t confined to the borders of any single project type or industry. They are designed to be applicable across the board, making PRINCE2 a versatile framework that can adapt to any project’s geographical, cultural, and contextual differences.

When we talk about PRINCE2, we’re talking about a set of principles that have been tried and tested — they are best practices distilled from years of project management experience. They save teams from having to reinvent the wheel, essentially offering a roadmap to effective project management that avoids common pitfalls.

These principles empower project management teams by providing clarity and confidence, equipping them with the tools to shape and steer their projects successfully. With PRINCE2, teams have a solid foundation to build upon, enabling them to navigate the challenges of project management with greater assurance.

Our first stop is ‘Ensure continued business justification’. This principle is all about making sure the project remains worthwhile and feasible. It’s like your project’s ‘raison d’être’—it should deliver value every step of the way. But it’s not a ‘set it and forget it’ situation. Business justification is a continuous checkpoint throughout the project’s life.

Speaking of justification, the business case is your compass, constantly guiding the project. It must be maintained and updated. It’s not just about financial gains; it’s about measurable benefits. And if those benefits are at risk, it’s better to halt the project rather than veer off course. The business case doesn’t just exist at project start-up; it’s a living document, critical at every stage decision.

Next up, ‘Learn from experience’. It’s imperative to avoid repeating past mistakes. PRINCE2 embeds the process of capturing lessons into the project’s DNA. From the initial project steps to its closure, learning is a continuous journey. Like patching up weak spots in a strategy, lessons contribute to the project’s evolution and success.

Then there’s ‘Ensure defined roles, responsibilities, and relationships’. PRINCE2 demands clarity in who does what. It sets a structure where everyone knows their role, creating an environment where misunderstanding is minimised, and project success is maximised.

Moving on to ‘Manage by exception’. It’s about setting boundaries—tolerances for time, cost, quality, you name it. The project board isn’t bothered with every little hiccup; they step in only when tolerances are breeched. It’s like having a safety net that allows for effective management without micromanaging.

‘Manage by stages’ is about breaking the project into manageable, controllable sections. Each stage is a gate: to pass through, a project must prove its continued viability. This step-by-step approach helps mitigate risks by making sure everything is on the right track before moving forward.

And there’s ‘Focus on products’. This principle anchors the project in the physical or tangible outcomes it aims to deliver. It’s about aligning expectations and establishing clear criteria for success, thwarting scope creep, and ensuring each product fulfills its intended role in achieving project benefits.

Finally, we reach ‘Tailor to suit the project’. PRINCE2 is not a one-size-fits-all. It’s designed to be tailored. Each project has unique characteristics, and PRINCE2 is flexible enough to adapt while maintaining its integrity. You can adjust it to your project’s specific needs, ensuring the methodology serves the project, not the other way around.

As we wrap up this episode, remember that PRINCE2 is not about ticking off boxes or following the manual to the letter. It’s about understanding and applying the seven principles that underpin successful project management. Whether your organisation is new to PRINCE2 or you’re looking to refine your approach, keeping these principles at the forefront is key. They’re the essence of PRINCE2 and applying them sensibly can propel your project management to new heights.
